How We Review

FirmTools.ai is an editorial directory of AI software for professional service firms. This page explains how we choose tools, how we research and write about them, and how we make money.

How tools get on the site

We add tools to the directory based on category gaps (e.g., tax workflow software for solo CPAs) and category leadership (the most cited tools in a category). We also accept reader and vendor suggestions, but suggestion does not equal inclusion. Tools are evaluated on the same criteria regardless of how they came to our attention.

We do not accept payment for inclusion. Listings are not sponsored. A tool either fits our framework or it does not.

The four-pillar evaluation framework

Every tool we cover is evaluated against four criteria. A tool can score well in some areas and weakly in others, and the review will say so directly. We do not give every tool a passing grade.

Security and compliance. We look at the regulatory standards that apply to the tool’s target industry, including SOC 2 for B2B SaaS, HIPAA for medical tools, attorney-client privilege handling for legal tools, and GDPR posture for tools serving global teams. We summarize what the vendor publicly documents.

Industry specificity. We distinguish between tools built specifically for a profession and horizontal tools repackaged with industry marketing. Both can be useful. We tell readers which they are dealing with.

Workflow integration. Professional firms run on existing software stacks. A tool that does not integrate with the systems firms already use creates manual work, not automation. We document the integrations the vendor lists and note the limitations they disclose.

Real ROI potential. We assess whether the time saved or revenue generated justifies the cost for the firm size we recommend the tool to. A high-priced tool that saves a solo practitioner two hours per week is a different value calculation than the same tool deployed across a fifty-person firm. We make the recommendation specific.

How reviews are researched and written

Reviews draw on publicly available information from vendor websites, vendor documentation, vendor pricing pages, and verified user reviews on platforms like G2, Capterra, and TrustRadius. Where the vendor offers a free trial or freemium tier, we may use the product directly. For enterprise-only tools without trial access, we rely on documented capabilities and third-party reporting.

We use AI as a research and drafting assistant. Drafts are reviewed and edited before publication. We do not publish unedited AI output, fabricated user quotes, or invented case studies.

Software changes. Pricing increases, features ship, integrations change, ownership changes. We update reviews when we become aware of material changes, and we show a “last updated” date on every review. We do not guarantee that every detail in every review reflects the most current state of the vendor’s product. Readers should always confirm pricing and features directly with the vendor before purchasing.

How we make money

FirmTools.ai earns affiliate commissions when readers click through to certain tools and sign up for paid plans. The presence or absence of an affiliate program does not affect whether a tool is included, how it is ranked, or how the review is written. Tools without affiliate programs are reviewed on the same terms as tools with them. We mark affiliate links and run a site-wide advertising disclosure on every page that contains them.

What we are not

We are not lawyers, doctors, accountants, or licensed financial advisors. Reviews are editorial software evaluations, not professional advice. Readers should evaluate any tool against their firm’s specific regulatory and operational requirements before adopting it, and confirm pricing, features, and compliance details directly with the vendor. For compliance-critical decisions, consult a qualified professional.
